HOW TO RUN A GREAT VIRTUAL MEETING?

  The virtual meeting is another way to meet people rather than the physical meeting. It allow you to meet many persons who are in multiple locations at the same time.  The meeting can be started when one of the user have the control via internet connection. Also, it is not always run from different location, people may run it from different part of a building. It is claimed that the virtual meeting has many positives and it may be better than the physical meeting whereas it is a cheaper and you will not have to travel for long distances to perform it (Cocke, n.d.).

  According to Ferrazi(2013) there are many things to consider before the meeting to make an effective platform for it. We first have to turn the video on by using the social media such as the skype. This will allow us to see and interact with each other like we are in a physical meeting. This is better than a phone call because the leader can figure out who is focusing in the meeting also s/he can ask questions to keep the members engaged. However, Nancy (2015) argued that the critical thing is that the members have to be prepared and have read about the topic before the meeting and if they didn't that will become an ethical violation against the team.

  People have to feel comfortable about sharing their ideas and thoughts and respect each other during the meeting. The leader should encourage the members to participate in problem solving by giving everyone a time on the agenda so everyone gets a chance to collaborate. Then s/he can give a specific time for everyone to discuss his or her issues and ask questions as well, after that all of the members collaborate to solve the issues and answer the questions. While running the meeting the members should not answer their phones calls and should not go outside the room. So, they have to be focused on the meeting only.

  After the meeting everyone should go around and talk about what s/he have done differently in the meeting like what did s/he disagreed with and what was the challenges and the difficulties faced in the meeting. The most important thing in the virtual meeting is being polite and respectful with others and there should be ethical rules to follow before starting the meeting. Also, being active in the meeting is a very important thing and listening carefully to get benefits and experience from the other members.
